ASIA to JAPAN Inc. (hereinafter referred to as “the Company”) recognizes that the protection of personal and specified personal information is a critical responsibility. In alignment with our philosophy of personal information protection and our internally established code of conduct, we have developed a Personal Information Protection Management System to embody the following principles. We hereby declare our full commitment, as an organization, to the continuous improvement of this system while staying fully aware of advances in IT, changes in societal expectations, and shifts in the business environment. 

  1. The Company shall appropriately acquire, use, and provide personal information in accordance with the nature and scale of its business, and shall not handle such information beyond the scope necessary to achieve the specified purposes of use. Appropriate measures will be implemented to ensure this principle is upheld. 

  2. The Company shall comply with all laws, government guidelines, and other relevant standards pertaining to the handling of personal information. 

  3. To prevent risks such as leakage, loss, or damage of personal information, the Company shall establish and maintain reasonable security measures and organizational systems and will continuously enhance them. In the event of an incident, prompt corrective actions will be taken. 

  4. The Company shall respond promptly and in good faith to any complaints or consultations related to the handling of personal information. 

  5. The Personal Information Protection Management System shall be reviewed and improved as needed, in a timely and appropriate manner, in consideration of environmental changes surrounding the Company.

7. Security Measures for Retained Personal Data

The Company has established rules for handling personal and specified personal information, as well as rules for security measures. It implements the following: 

  1. Formulation of Basic Policy
    A clear policy on handling personal information is set and made available internally and on the Company’s website.

  2. Establishment of Handling Rules for Personal Data
    Procedures for acquisition, use, storage, provision, deletion, and disposal are clearly defined in internal documentation and communicated throughout the organization.

  3. Organizational Security Measures
    Regular internal self-audits and third-party internal audits are conducted.
    Access to personal data is restricted to authorized employees only.

  4. Human Security Measures
    Regular training is conducted for employees regarding the handling of personal information.
    Confidentiality agreements are signed by employees.

  5. Physical Security Measures
    Access to areas where personal information is handled is restricted.
    Entry and exit to such areas are monitored.
    Personal data is stored in locked cabinets or servers with restricted access.

    Firewalls and anti-virus software are used to prevent unauthorized access.

【Joint Use of Personal Information】

  1. Purposes of Use 
    The ASIA to JAPAN Group will use the personal information provided by users for the following purposes: 

    (1) For purposes necessary to provide our services to members, including identity verification, sending direct mail from recruiting or sponsor companies, phone-based seminar invitations, and communications from the Group regarding our services 

    (2) To create statistical data related to the service, which does not identify individuals 

  2. Provision to Third Parties 
    Except in cases permitted by the Act on the Protection of Personal Information or other applicable laws, the Group will not provide personal information to third parties without obtaining prior consent from the individual.

    Notwithstanding the above, the Company will jointly use personal information as follows:

    Personal information that is provided to hiring companies or other partners with the member’s consent will be managed by those companies for purposes such as internship or recruitment communication following an application. For details on how each company handles personal information, please contact the respective company directly. Companies are strictly prohibited from using such information for any purposes other than those related to this service. 

  5. Requests for Disclosure and Corrections 
    If a member wishes to request notification of the purpose of use, disclosure, correction, addition, suspension of use, erasure, or suspension of third-party provision, the Company will take appropriate action after confirming that the request is made by the member themselves.
